    Overview

    Custom Reminders allow you to manually create your own reminders for events or actions not automatically covered (e.g. renewing a certification, attending a meeting, submitting a form) for individuals, groups, departments, or the whole staff.

    This page provides quick guides for setting up popular custom reminders.

    Example #1: Renewing first aid certification

    1. Go to Reminders on the left hand side navigation menu.
    2. Select + Add Reminder.
    3. Select Select People...  Select the relevant employee/s.
    4. Select the event date. This is the date that the first aid certificate needs to be renewed by (the current expiry date).  
    5. Select the Category drop down menu and choose Compliance.  
    6. Enter a Title. Such as "Obtain new first aid certificate" or "Upload renewed first aid certificate."
    7. You can use the description to add further details if appropriate, including URLs or links.  
    8. Select the Send a reminder email about this upcoming event check box and enter when you would like the reminder email to be sent.
    9. Under Record Outcome, select Completion. 
    10. You have an option to send a follow up email to participants who have not completed the task at a follow-up frequency of your choice by selecting the Send follow-up emails to people with a pending Attendance or Completion status box, and enter how frequently you would like reminder emails to be sent.
    11. Select Submit.

    By choosing Completion as the outcome type, your employee will be asked to confirm that they have done the task assigned to them. 

     

    Example #2: Attend company-wide meeting

    1. Go to Reminders on the left hand side navigation menu.
    2. Select + Add Reminder.
    3. Select Select People...  Select the relevant employee/s.
    4. Select the event date. This is the date of the company meeting.   
    5. Select the Category drop down menu and choose Compliance.  
    6. Enter a Title. Such as "Attend [MEETING NAME] meeting at [LOCATION]" 
    7. You can use the description to add further details if appropriate, such as an address, an online meeting link, or instructions relevant to the meeting such as pre-work required. 
    8. Select the Send a reminder email about this upcoming event check box and enter when you would like the reminder email to be sent (optional).
    9. Under Record Outcome, select Attendance.
    10. You have an option to send a follow up email to participants who have not confirmed whether they attended at a follow-up frequency of your choice by selecting the Send follow-up emails to people with a pending Attendance or Completion status box, and enter how frequently you would like reminder emails to be sent.
    11. Select Submit.

    By choosing Attendance completion as the outcome type, your employee will be asked to record their attendance as either "Absent" or "Present".


    Example #3: Training requirement

    1. Go to Reminders on the left hand side navigation menu.
    2. Select + Add Reminder.
    3. Select Select People...  Select the relevant employee/s.
    4. Select the event date. This is the date of the training or date that the training must be completed by.
    5. Select the Category drop down menu and choose Training.  
    6. Enter a Title. Such as "Attend [TRAINING NAME] meeting at [LOCATION], or watch the post training recording" or "Watch onboarding training video"
    7. You can use the description to add further details if appropriate, such as an address, an online meeting link, or instructions on where to find a recording of the training if they are unable to attend in person.  
    8. Select the Send a reminder email about this upcoming event check box and enter when you would like the reminder email to be sent (optional).
    9. Under Record Outcome, select Completion.
    10. You have an option to send a follow up email to participants who have not confirmed whether they attended at a follow-up frequency of your choice by selecting the Send follow-up emails to people with a pending Attendance or Completion status box, and enter how frequently you would like reminder emails to be sent.
    11. Select Submit.
