Overview
The Document Preview feature allows you to view documents and images directly within MyHR without needing to download them first. This means you can quickly open files on screen by selecting View document, rather than downloading and opening them in a separate application.
Document Preview allows you to view agreements at all stages of the signing process, as well as other files supplied by MyHR and documents you upload yourself.
This feature supports PDF and image files, allowing managers to review documents quickly and easily within the platform.
Step-by-step instructions
How to preview a document
-
Locate the document within MyHR (for example in an employee’s document folder or request).
-
Select View document.
-
The document preview window will open and display the file directly within MyHR.
From here you can review the document without downloading it.
Optional: Mark up a document preview (Microsoft Edge)
If you are using Microsoft Edge, you may be able to mark up a document preview.
-
Open the document using View document.
-
Select More options in the top-right corner of the preview window.
-
Use the available tools to highlight text or add comments.
If you add mark-ups in the preview, you will need to download the document with your changes and send it to MyHR. Mark-ups made in the preview are not visible to MyHR within the platform.
FAQs, troubleshooting, tips & tricks
What file types can be previewed?
Document Preview supports:
-
PDF files
-
Image files
Microsoft Word files (.doc or .docx) are not currently supported for preview and must be downloaded to view.
Why can’t I preview a document?
You may see an error message indicating that document preview is not supported on your device or browser.
This can occur if:
-
The document type is not supported (such as a word document)
-
Your browser settings force PDFs to download instead of opening in the browser
-
Your browser version needs updating
If this happens, try downloading the document and opening it locally on your device.
Why are PDF documents downloading instead of opening in preview?
Some browsers are configured to automatically download PDF files instead of opening them in the browser.
For example, in Google Chrome you may need to update your PDF settings:
-
Open Chrome Settings: Click the three dots (⋮) in the top right and select Settings.
-
Privacy and security: Select this from the left-hand sidebar.
-
Site Settings: Click this in the center menu.
-
Additional content settings: Scroll to the very bottom of the page and click this to expand the menu.
-
PDF documents: Select this option.
-
Default behavior: Choose "Open PDFs in Chrome" to view them in the browser, or "Download PDFs" to save them automatically.
This allows PDF files to open directly in the browser preview instead of downloading automatically.
What should I do if document preview still isn’t working?
If preview is still not working:
-
Make sure your browser is up to date
-
Try opening the document using a different browser
If the issue continues, you can download the document and open it directly on your device.
