Overview
With MyHR, it’s easy for managers to request employment agreements or contracts for new team members. Our friendly HR team takes care of the details, preparing compliant agreements tailored to your organisation’s needs.
Once your agreement is ready, you’ll get an email to review and sign it online. You can also let us know if you’d like any tweaks before signing. When everything looks good and you’ve signed, we’ll invite your candidate to join MyHR, to review their agreement, and add their electronic signature, too.
In New Zealand, terms and conditions of employment are captured in employment agreements. In Australia and Canada, these documents are called employment contracts.
Service Leave Agreements (SLAs)/turn around times
- Standard turnaround for employment agreements is two working days. MyHR support hours are Monday to Friday, 9am – 5pm.
- Missing information may result in extended turnaround. When completing a request form, please provide comprehensive information; the more details you include, the faster our team can deliver the support you need.
- Should any information be missing, or if further clarification is required, our team will reach out to you via the Ask Us chat feature.

Step by step instructions
Adding a new person & requesting an employment agreement
- Log in to MyHR, where you’ll land on the Home page.
- You can either select the Add button and select Person, or go to HR Services in the left menu and select Employment Agreement.
- Fill in the employee’s personal and job details, then select Submit. Our team will handle the rest from there.
- You will receive an email notification when the employment agreement is ready for you to review.
Tips:
- Please ensure you notify us on the form if you are requiring an agreement/contract for immigration or visa purposes, or if the role is covered by a collective agreement.
- If the role is part time salary, please clarify whether the salary figure you have entered is pro-rata or FTE.
- If you don't require an employment agreement/contract, just let us know in the Ask Us chat thread.
To receive an employment agreement within 4 working hours, it is possible to request a fast track for an additional fee of $65+gst. This cost will be added to your next monthly invoice.
On the Employment Agreement form, tick Yes next to Do you need this employment agreement fast-tracked?. We’ll pick it up straight away—no need to call or email to confirm.
Signing an employment agreement as a manager
- When an agreement’s ready, you’ll get an email and see a handy reminder on your MyHR homepage.
- Click the notification to open the document. You’re welcome to review and sign online (it’s quickest!), or print and upload the signed copy later.
- If you have electronically signed, your new employee gets an invitation to log into MyHR, check their offer letter, and sign their agreement with just a few clicks.
- You will receive a notification when they have electronically signed the job offer and employment agreement.
Note: If you have download the agreement to manually sign (by selecting Review, print, sign and upload). You will need to upload the signed copy later.
FAQs & troubleshooting
Can I save the request form as a draft?
Yes, the Save Draft person and Draft People features allow you to add new people into MyHR, even if you only have a few of their details. You can come back later to complete their details and confirm them as a managed person.
To save a person as a draft, you only need their name, current employment status (new or existing), and their email address. Follow the steps above for adding a new person. Instead of selecting Submit, select Save Draft instead.
Who can access draft people?
Your draft people are available to all owners and managers with the 'Add and manage people' permission and access to the department the employee has been allocated. In the case that a department hasn't been selected, only owner users can see the employee profile.
How do I access and edit draft people?
- Go to People > select Draft people or if you've just imported a spreadsheet of people, select Return to Draft people.
- Find the person you want to update and select Edit.
- Fill in any new details you have about the person or change anything that's already been entered.
- When you are ready to confirm them as a person in your account, select Confirm as Person.
- MyHR will check the details and highlight anything on screen that may have been missed.
- Make any changes and select Confirm as Person' again. MyHR will now add this person to your account and remove the draft.
How do I request changes to an employment agreement you have sent me?
When you submit a request for an employment agreement, a chat thread is automatically created in the Ask Us chat feature with the employee's name and the request type.
You can use this to speak to the MyHR team member who is working on the documents for you.
As this message goes directly to them and is linked to the request, this is the most efficient way to provide further information, request changes, or respond to any queries that we have.
I forgot to tick fast track when I submitted the employment agreement request. How do I request this afterwards.
- If you forgot to tick Fast Track, just give us a call (that’s the quickest way).
- Alternatively, submit an Update Agreement request, then message us in chat to let us know it’s a duplicate, and we’ll tidy things up.
Note: the SLA of 4 working hours is tracked from when you call or submit an Update Agreement. If you send an Ask Us chat message instead, the SLA is tracked from when we see this and confirm back to you.
Why can't I see the fast track option?
There are two management access types with MyHR - Owner access and Manager access. All users with Owner access can request Fast Tracks. Managers can be granted this ability too, at the discretion of an account owner.

How do I upload a copy of an employment agreement/contract that has been manually signed?
If your employee has not logged in/not been invited to MyHR, you will be able to upload the signed agreement to the Employment Agreement/Contract folder under Signed last page.'
If your employee has already logged into MyHR but has manually signed rather than electronically, you will need to take some extra steps to upload the signed document in the correct place (and have the reminder notifications turned off!):
- You will need to turn off the employee's self service function: Go to the employee's profile > Overview tab > Edit Details > Self Service Disabled > Save.
- Next upload a copy of the signed document into the employee's employment agreement folder (where you downloaded the agreement from): Go to the employee's Document tab > Employment Agreements folder > Upload to the UPLOAD SIGNED LAST PAGE HERE section.
- The employment agreement/contract will be marked as complete and the notification reminders will be removed.
- Ensure self service is turned back on so that your employee can access their documents and MyHR profile: Go to the employee's profile > Overview tab > Edit Details > Self Service Enabled > Save.
I have uploaded the signed employment agreement/contract, but the reminder notification has not gone away.
For notifications to go away, the employment agreement/contract must be uploaded to the 'Upload signed last page here' box. If it has been saved to a different folder, the system won't connect the two together.

Can I email to request an employment agreement/contract instead?
For everyone’s security (and to keep things running smoothly), please use the online forms for all new agreement requests instead of email. It helps us keep everything secure and easy to track.
How do employees sign the employment agreement/contract?
- If you have electronically signed the employment agreement/contract, your new employee will receive an email inviting them to join you on MyHR and letting them know their agreement/contract is ready for them to sign.
- They must accept the invitation within 10 days, and set up their MyHR account by:
- Logging in to their self-service MyHR account and creating a password.
- Providing additional personal information (emergency contact, financial details etc.).
- Typing or signing their signature.
- Selecting Save details.
- Employees will automatically move through to their employment agreement/contract, which they are encouraged to review (the document can be printed). Once they are happy with the contents, they select Sign here - their saved signature will be pulled through to the employment agreement/contract.
- To finalise, the employee selects Click to finalise and they will have formally accepted their offer of employment.
Note: if you have provided other forms or policies for them to view, they will be able to do so before they sign the employment agreement/contract.
Is there a way we can send out tax code forms and superannuation forms from MyHR?
Our system provides copies of tax and superannuation forms along with the employment agreement/contract. Below their agreement an area called important documents for signing pops up with the option to download these forms, fill them in and re-upload to a completed documents section.
In New Zealand, this includes IR330 and Kiwisaver forms.
In Australia, this includes Fair Work information statement and superannuation information.
Our onboarding feature is a great way to highlight these forms and provide instructions on what you would like an employee to do with them.
Can tax forms be electronically completed?
Forms are still required to be downloaded, completed and uploaded to MyHR, however depending on an employees computer/phone software they may be able to electronically complete the fields in the form
Do you have a new starter checklist?
We have an electronic onboarding feature! You can assign tasks to either your new employee or the manager, including providing documents such as policies and handbooks.
My employee has questions about the employment agreement, can you speak to them?
As part of your MyHR membership, our team are here to support your managers and we don't engage directly with employee's regarding their own employment.
Should an employee have any question about their employment agreement or how to sign, they need to speak to their manager regarding this. If the manager is unsure how to proceed following this or would like advice, they should contact the team at MyHR for advice.
