How to request HR Services

As a MyHR member, your organisation has access to support from our HR services team. This includes advice and creation of employee documentation across an employee's lifecycle.  This guides cover the types of support included and how to request support.

Overview

With MyHR, it's easy for managers to seek advice and support for employee related situations across an employees lifecycle. Our team can give guidance and prepare best practice documentation for a range of scenarios.

To view the types of support available, log into MyHR and go to HR Services on the left-side navigation menu.

Within HR Services, you’ll find two main tabs.

  • The HR Services tab contains links to forms for a range of employee documentation requests, complemented by a search bar for easy navigation. Forms are arranged according to the employee lifecycle for added clarity.
  • The Request management tab provides a summary of active and inactive requests that you have access to (based on your departmental permissions). You can search by employee name or request type, and can see whether a request is with MyHR for review, or ready for you.

Submitting a request under an employee's profile:

You can go to your employee's profile under the people in the left-side navigation menu. From there, you can go to the HR requests tab and create a request. The options available to you, will be the same as under the HR Services tab.

Service Leave Agreements (SLAs)/turn around times
  • Standard turnaround timeframes are provided below for the different request types. MyHR support hours are Monday to Friday, 9am – 5pm.
  • Missing information may result in extended turnaround. When completing a request form, please provide comprehensive information; the more details you include, the faster our team can deliver the support you need.
  • Should any information be missing, or if further clarification is required, our team will reach out to you via the Ask Us chat feature.

Step-by-step instructions

  1. Log into MyHR and select HR Services.
  2. To narrow down the menu, you can use the filters above the list (e.g. Employee issues), or select All to view all available options.
  3. Choose the appropriate support option.
  4. Select the employee for whom you require support.
  5. Complete the form with all relevant information.
  6. This submission will prompt the MyHR team to create your requested documentation. If further information is required, the MyHR team will contact you via the Ask Us feature.

Request forms by employee lifecycle

The following guide explains each of the lifecycle sections and provides SLA expectations.

Starting out

  • This section covers forms related to the commencement of employment for new hires, such as employment agreements or confirming a start date change.
  • Standard turnaround for these documents is two working days. Missing information may result in extended turnaround.

Tip: If an employment agreement/contract has not yet been signed by the employee and you would like to make changes (including to the start date), please let us know via the Ask Us chat feature rather than submitting a new request. We can easily make changes to an uncompleted existing document.

Changes to terms

  • This section covers forms related to updating an agreement/contract, pay increase letters, and temporary and permanent change to terms & conditions letters. 
  • You may be asked whether the employee has agreed to the change. If the change has already been mutually agreed at your end, our HR Admin team will prepare and return the letter. If you have indicated that the change has not yet discussed or agreed, your request will be directed to our advisory team for further guidance.

  • If you’re only changing one aspect of employment (e.g., pay, position, hours, location, reporting line, or secondment), a variation letter is suitable. Once a change to terms letter is complete, the employee’s profile will update on the effective date of the change.
  • If multiple terms are changing—such as position, reporting line, and pay—it is more efficient to use the Update Agreement process, which allows you to review and confirm all updated fields against the existing agreement. This serves as a prompt to consider any further necessary changes, such as notice periods or additional benefits. The employee's profile will be updated/changes applied when the employment agreement has been signed by both parties and the effective date has been reached.  
  • For your convenience we provide by a PDF version of the documentation we provide, and a word version. If you would like to make changes to the letter we have provided, you are welcome to do so. If you would like us to review your changes, please upload back to the same folder and message us using Ask Us chat. 

  • Standard turnaround for these documents is two working days.

Day-to-day management

  • This section covers forms related to updating an agreement/contract, pay increase letters, and temporary and permanent change to terms & conditions letters. 
  • Standard turnaround for these documents is two working days.

Employee issues

  • Requests in this section are directed to our advisory team; please provide detailed information upfront to ensure efficient support.
  • This includes disciplinary and performance management, 90-day trial period termination, probation period termination, medical concerns, excess sick leave support.
  • Discovery will commence within two working days, although resolutions and final documentation may take longer if additional details are required. 

Business-wide

  • Requests in this section are directed to our advisory team; please provide detailed information upfront to ensure efficient support.
  • This section includes Restructure (consultant support) and memo of notice of annual closedown.
  • Discovery will commence within two working days, although resolutions and final documentation may take longer if additional details are required. 

End of employment

  • This section covers forms related to the end of employment, including confirmation of end of casual employment, confirmation of end of fixed term agreement, resignation acknowledgement, certificate of service, and abandonment of employment.
  • Standard turnaround for these documents is two working days.

Other – My requirement is not listed

The above mentioned forms cover the requests we most commonly receive however is not exhaustive of the support available.

FAQs & troubleshooting

Can I get the documents back sooner?

You can for employment agreements - within the Employment Agreement and Update Agreement forms there is a option to request a fast track

How do I request changes to a document you have sent me? 

When you submit a request for support, a chat thread is automatically created in the Ask Us chat feature with the employee's name and the request type.

You can use this to speak to the MyHR team member who is working on the documents for you. As this message goes directly to them and is linked to the request, this is the most efficient way to provide further information, request changes, or respond to any queries that we have.

Can I email to request for support instead?

For everyone’s security (and to keep things running smoothly), please use the online forms for HR services requests instead of email. It helps us keep everything secure and easy to track.

I really just want to talk to someone, can I do that?

Yes - our HR teams can be reached on the numbers below.

You can also request a call via the Ask Us chat feature on the chat thread linked to your request (please use the existing thread rather than a new one so that it does directly to the person you have been working with!). Please provide a few times that you are available - we may have prior commitments for your first choice availability. 

Can I work with just one person in your team?

When you submit an HR Services request, it will be assigned to one of our fantastic team members. They will be your main point of contact for that request and will work with you through the entire process.

From time to time, another of our team may jump in to assist if your primarily person is unavailable - we prioritise getting you the support you need and work together to make that happen.

Can I update an employee profile without getting an employment agreement/contract or letter?

Yes - we know that not all changes make it onto MyHR and you may not need us to do all your admin for you. The updating employee details page has information on how to make profile updates without documentation.
