Overview

This guide explains how to set up or edit an individual performance review for an employee.

Performance reviews can be set up for an individual position from the employee's profile, or a template can be applied for a specific role or applied to bulk employees where you have multiple employees in the same role.

If using the template option, a draft performance review is set up for each applicable person. You can then make individual edits to personalise before publishing the performance review to make it live.

Step-by-step instructions

How to create a draft review for a single employee

  1. Navigate to the person's profile. Either:
    1. Go to People and select the employee's name from the list, and select Performance; or
    2. Use the search feature at the top of the screen. Enter the employee's name + [performance review]
  2. Select + No active reviews | Create new review
  3. Select a template from the drop down list or select create new template.
  4. Enter the cycle start date and end date and select Submit. The cycle dates default to one year from today's date, however you can adjust to your organisation's cycle.

A draft review has been created. You can edit the draft review to personalise, and publish to make the review live and visible to the employee.

How to create a draft performance review for multiple employees from a template

  1. Go to Performance on the left side navigation menu.
  2. Select Create review.
  3. Select the people you would like to create a draft review for. You will not be able to select anyone who has a current performance review. If you have a long list of employees, you can filter by department to narrow down your selection options. 
  4. Select a template from the drop down list or select create new template.
  5. Enter the cycle start date and end date and select Submit. The cycle dates default to one year from today's date, however you can adjust to your organisation's cycle
  6. Select Create # drafts to confirm the list of selected employees and templates to be applied.

A draft review has been created for each employee. You can edit the draft review to personalise, and publish to make the review live and visible to the employee.

If you had one employee on your list, you will be automatically redirected to their Performance tab.

If you had multiple employees on your list, you will be redirected to the main Performance page. You can use the filters on the performance reviews table to find the draft reviews. Select the employee name to go to their draft review. Alternatively you can use the search feature to navigate to the employee's profile.

How to edit/customise a draft review and publish

Within a draft review, you have multiple editing options to allow you to customise the review process. This may include adding, editing or deleting sections or items (including toggling on or off the progress tracker, rating scale or due date for individual items)

These changes will be auto-saved and available straight away.

  1. Go to the draft review and make your edits. 
    1. Once you're happy with the content of the review, select Publish (at the bottom of the screen)
    2. Once published, an email notification is sent to your employee to let them know their review is available within self service. 

    The status of the review has changed to In Cycle.

    FAQs & troubleshooting

    I would like my employee to contribute to setting their own KPIs.

    The draft review is not visible to the employee as a default. This provides you an opportunity to plan what you would like to include prior to publishing the review.

    However you can choose to provide an employee with editing access to a performance review. This can be common for senior roles where an employee might contribution to their own performance expectations. As a manager you can view KPIs an employee has set to confirm or edit.

    From the draft review, across the top of the review is an information bar notifying the review cycle date, a history button (to view who has made what changes), and information regarding the employee's permission to edit the review.

    For example, "Ted cannot edit this review". To the right of this text, you can select Change to provide your team member with editing access. They will now be able to see the draft review in their employee self service and make edits.

    Update the checkbox to either allow or uncheck to prevent editing of the current performance review.

    Advise your employee that the draft performance review is ready for them to access. The next time they log into MyHR they will now be able to see the draft review in their employee self service and make edits.

    I have published a review but now I want to make edits

    If you've moved into the appraisal phase too early or would like to make some extra edits before you continue, you can easily revert to the active cycle.

    1. Go to the review you would like to edit.
    2. Select the three dots '...' to the right of the screen.
    3. At the top of the performance review, select the options menu (the three dots).
    4. Select Edit review and make edits as needed.
    5. Select View to return to the in-progress review page.

    I want to delete a draft review

    You may want to delete a draft review, or have completed a review elsewhere and would like to abandon an old review set up in MyHR and start fresh.

    If you delete a review, it is removed from our system. Please be certain that is your intention. 

    1. Go to the review you would like to delete. 
    2. Select the three dots '...' to the right of the screen.
    3. Select Delete review.
    4. Checked the confirmation box and select Delete.

    How can I see what edits or changes have been made to a performance review

    If someone has made edits to a review item, you can see who changed it, when and what was changed by selecting the comment button and viewing the activity on a particular item. the details of the modification are recorded here, including the person responsible, the timestamp and the specific change.

    Broader changes, such as cycle dates or deleted sections, are tracked under the review history button.
