How to navigate the integrations space in the MyHR platform

Overview

This article explains how to use the integrations area in MyHR — where to find it, how to manage your connected payroll, and how to link, unlink, and troubleshoot employee profiles.

Getting there

  1. Select the Settings cog (top-right corner)
  2. Select Settings
  3. Click the Integrations tab

From here you'll see all available integrations. Select Get started to connect a new one, or Manage to work with an existing connection.


Accessing and managing integrations

To access the Integrations area, click the Settings (cog icon) in the top-right corner, select Settings, and then click the Integrations tab. From here, you can select 'Get Started' for a new connection or 'Manage' to view an existing one.

Access permissions

Access to the integrations list and the ability to make changes are determined by your user role and management permissions:

Manager with Integrations permission + direct reports Restricted View all profiles, edit profiles for their direct reports only
Manager with Integrations permission, no direct reports View only View all profiles, no editing


Supported integrations

  • Australia: CloudPayroll, MyHR Payroll, Xero.

  • New Zealand: iPayroll, Payhero, Xero.

  • Customisable (via Zapier): Zapier, Custom Payroll, and JobAdder.


Integration settings

  • Each connected payroll has its own settings tab. You can configure:

    • Payroll administrator — the person who receives integration notifications and error emails
    • Automatic employee creation — whether new employees are pushed to payroll automatically when they sign their agreement in MyHR
    • Automatic data updates (Push Updates) — whether ongoing employee detail changes are pushed to payroll automatically. See Automatic data updates between MyHR and payrolls
    • Leave balance visibility — which leave balance types are visible to managers, and which are visible to employees in self-service
  • Payroll-specific settings:

    iPayroll and CloudPayroll: Set default User-Defined Groups and Cost Centres. When a new employee is created in MyHR and pushed to payroll, these defaults are sent across automatically. Required if UDGs or cost centres are mandatory in your payroll account.

    Xero: Displays the name of the Xero organisation currently connected to MyHR. If the wrong organisation is showing, disconnect and reconnect from this page to correct it.

    PayHero: Enter your PayHero API key here to authorise the connection. Find your API key in PayHero under Settings > Integrations.

    Zapier / Custom integrations: Generate, view, and copy your MyHR API key from here to use in Zapier or JobAdder. An expiry date is shown — use the regenerate button if the key has expired.


The Manage tab

The Manage tab is the main workspace for your integration. It shows every employee profile from both MyHR and your payroll system, their link status, and any issues that need attention.

Profile types

Profiles are identified by their avatar:

  • A letter avatar = a MyHR profile
  • A payroll logo avatar = a payroll profile

Status reference

Status What it means
Not linked The profile exists in one system but isn't connected to the other
Connected MyHR and payroll profiles are successfully linked
Action required A sync error has occurred or data needs updating before the link can work
Excluded The profile has been manually excluded from the integration

Leave sync status shows separately and indicates whether leave is actively flowing between the linked profiles:

  • Blank — no link established yet
  • Active — leave is syncing successfully
  • Inactive — linked, but leave type mapping needs to be completed before leave can sync

Filtering, sorting and searching

Use the filter options to narrow the list by status or leave sync status. Sort alphabetically or by status. Use the search bar to find a specific person quickly.

Refreshing data

The Manage tab shows when payroll data was last pulled into MyHR. Select Refresh to manually pull the latest data from your payroll system at any time.


Viewing profiles

To view a specific record, select the ellipsis menu (..) next to any name in your integration list and choose 'View profile'. How the data is displayed depends on whether the profiles are connected.

Unlinked profile

Shows data from one system only (either MyHR or payroll, depending on which profile you opened). 

Linked profiles

 MyHR is shown as the primary view. You'll see: 

  • The most up-to-date information from MyHR
  • A payroll indicator tag (showing the payroll provider and the employee's payroll ID) under the person's name
  • Select the payroll indicator to open a side-by-side comparison of MyHR vs payroll data — useful for spotting discrepancies before making changes

Linking profiles

Use the ellipsis menu (..) within the manage tab to link existing profiles between MyHR and your payroll software.

Starting from a MyHR profile:

  • Select Link to an existing payroll profile to connect it to a record already in payroll.

Starting from a payroll profile:

  • Select Link to an existing MyHR person to connect it to a record already in MyHR.

Finding the right match:

A side panel opens to help you find the correct profile. If a similar name is detected, a recommended match will be highlighted. If not, search manually by name.

Before you confirm:

Select View details to open the side-by-side comparison screen. This shows any data differences between the two records so you can review before finalising the link. You can complete the link from this screen or return to the side panel.

Once a link is established, MyHR checks for any pending or future approved leave. If found, those leave entries need to be mapped to a payroll leave type before the leave sync activates.

Unlinking profiles

  1. Find the person in the Manage tab and select the ellipsis (...)
  2. Select Unlink
  3. Confirm in the modal that appears

The link between the MyHR profile and the payroll record will be removed. The profiles will still exist in their respective systems — they'll just show as Not linked in the integration.

Resolving errors

If a sync error occurs — either when a new employee is automatically pushed to payroll, or during a manual sync — the profile status will change to Action required.

Finding the issue

  1. In the Manage tab, filter by Action required
  2. Select the ellipsis (...) next to the person and choose View profile
  3. Look for:
    • An error banner at the top of the profile with details of the issue
    • Action required chips next to the specific fields causing the problem

 Fixing and re-syncing 

  • Personal details and financial information can be edited directly in the profile view
  • Employment information is read-only — changes need to be made in the person's main MyHR profile
  • Once updated, select Save & Sync to trigger a new push to payroll
  • If successful, status will change to Connected
  • If the error persists, the banner will update to show what's still blocking the sync

Disconnecting an integration

  1. Go to the Settings tab within your integration
  2. Select Disconnect
  3. Review the confirmation and confirm

Once disconnected, data will stop syncing between MyHR and your payroll system until the connection is re-established. Your history is retained.
