Overview
Within MyHR's Performance Review feature, you can create templates that be can used as a base across the organisation or within a department or role.
With templates in place, your managers can spend less time on set up and more time on great conversations.
To get you started, we have prepared a few starter templates which you can use as a starting point and customise to fit your organisation vibe and internal requirements. The team at MyHR are also available to help you custom build templates.
Note: The performance review templates are accessible by all management users. Individual employee performance reviews should be set up on the employee's profile, not saved as a template.
Step-by-step instructions:
Accessing the template library
- Go to Performance on the left side navigation menu.
- Just below the graphs, select Template library.
- To help you get started, you'll find three preloaded templates—General Performance Review, Objectives & Key Results, and Values-Led Review. These can be used as a base and customised to match your internal processes and tone.
Creating a new template
- To add a new template, select Create template.
- Select a template type. You have three options to choose from:
- New template - this is a general template which you can edit.
- Existing template - you can duplicate an existing template from your template library, and make edits and save as a separate template.
- AI generated - you can generate a template using our internal AI and picking a role from your job description library. The draft template will scan the key responsibilities, skills and expectations outlined in the job description and suggest KPIs for measuring success.
- Enter a template name and select Save.

Editing templates
Sections
- Within the template you can create sections. Common sections may include key performance indicators, skills and competencies, development plan, values and culture or check-in questions.
- All sections are optional and can be deleted, or you can add additional sections.
- The section names can be edited by clicking on the pencil next to the title name.
- Within the section edit screen, there is a option to add a description. This allows you to provide further instructions or to personalise the template so that it sounds like your organisation.
- Sections can be moved up and down in priority order by clicking and holding the 6 dots to the left of the section title.
- All sections (excluding check-in questions) can have items added within the section that can be customised with a progress tracker, rating scale or due date.
Adding items
- Select the + Add item button to add a KPI, task, competency or development activity. You can draft your own, or browse the MyHR examples for inspiration.
- Within the + Add item screen, you can select which attributes are relevant for that item:
- Title - Give your attribute a clear name so everyone knows what the focus is (required).
- Further details - Add extra context or guidance to make expectations crystal clear.
- Progress tracker - Enable this option if you would like to be able to tick off if a task is complete before the end of the review cycle.
- Rating scale - Enable this option if you would like the manager and employee to complete a rating against this attribute at the end of the review cycle.
- Due date - Enable this option if you would like to be able to record a due date for a specific item that is different (sooner) than the end of the review cycle.
Editing and deleting items
- Both sections and items can be edited or deleted using the Edit or Delete button on each item, or Delete section button.
- Items can be reordered, both within a section and can be moved into a different section. Select and hold the six dots to the left of a item or section and drag the item/section to where you would like it to sit.
- The history button at the top right of the screen shows who has made edits to a template.
Duplicating templates
Duplicating templates helps when you want to start with something from your template library but want to make a slightly different template for a different position/role or department.
- Go to the Template library.
- Select the three dots "..." to the right of the template you would like to duplicate.
- Select Duplicate.
- Enter the new Template name, and select Save.
Deleting templates
To keep your template library up to date and relevant, you can delete draft templates or templates that you no longer require or don't want used going forward. Please note that deleting a template is permanent and deletes the template for all managers within your organisation.
- Go to the Template library.
- Select the three dots "..." to the right of the template you would like to delete.
- Select Delete.
- Confirm that you understand you are deleting the template, and select Delete.
Rating scales
You can decide what rating scale is used by employees and managers during the appraisal stage. To review or edit the rating scale:
- Go to Performance on the left side navigation menu.
- Just below the graphs, select Settings (Adjust review rating scale).
- We have provided a default rating scale. You can adjust the rating scale labels and how many rating scale steps there are by selecting Edit.
- Edit the rating labels, delete, or add rating labels, then select Save.
There is one rating scale across your organisation. Please ensure that you have authorisation internally to make changes to the rating scale before you do so.

How do I assign a performance template to an employee?
Once your template is ready to go, find out how to start a review.
How do I turn the performance review I built for one person into a template?
If you have built a performance review for an individual employee which you would like to turn into a template that can be used for other employee's holding the same responsibilities, a template can be made provided that the performance review is in the In cycle phase.
- Go to the employee's performance review.
- Check that the review cycle is In cycle.
- Select the three dots '...' to the right of the screen.
- Select Save as template.
- Enter a Template name, and select Save.
Can we have two sets of rating scales?
No, there is one rating scale available in each account.
Can we copy templates over to another entity?
There is not an automated option available for copying templates into a different account. It is possible to log into two separate accounts using different web browsers or by using incognito, and then copy/pasting the template from one account into another.
